preferred markup and we will cut you a check, which will be
sent to you as soon as the clients have traveled or with the travel documents.
How much on top of the rates
can I markup?
You decide how much you want to earn on your client’s
booking. We charge the amount and cut you a check once the
reservation is paid in full. BrazilBookers.com will charge a 5%
convenience fee to cover merchant account expenses. This fee
is on top of the standard and commissionable portion only. You don’t pay
this 5% when you decide to charge only the standard 10% commission rates.
What happens when you charge
my client's credit card directly?
We charge the amount of the travel package plus any markup
you request. As soon as the reservation is paid in full, we will
cut you a check for any markup you requested us to charge. BrazilBookers.com will charge a 5% convenience fee to cover merchant
account expenses. This fee
is on top of the standard and commissionable portion only. You don’t pay
this 5% when you decide to charge only the standard 10% commission rates. Be aware that your client’s credit

How is the payment processed?
The great rates at BrazilBookers.com are based on prepaid reservations.
We actually have to prepay all of our suppliers, including
hotel, air and vacation packages. We provide your clients
with specially printed vouchers that are cut individually
for each of the services they booked so they can be presented
to each of our suppliers in the countries visited.
Does BrazilBookers.com offers
competitive Business Class tickets for my clients?
Yes, We have the best business class fares for mayor South
American Cities. Due to our high sales volume with airlines,
we have special programs that will allow us to offer competitive
business class prices , lower than published business class
fares.
What currency does BrazilBookers.com use?
For ease of reference, BrazilBookers.com prices can be displayed
in US Dollars, Canadian Dollars, Euros or Pounds.The actual charge, however will most likely be in Brazilian Reais, with the exchange rate of the day of
charge. Therefore the amount charged to you by your bank may differ slightly from the quoted price. The amount reflected on your credit
card statement will depend on the exchange rate used by your credit card issuing bank at the day of charge. You may experience a
variation from 1% to 3% - for more or less - of the values quoted in US Dollars shown on the website. Your credit card statement will read

How do I obtain the credit
card authorization form?
The travel consultant at BrazilBookers.com will send you the credit
card form as an attachment to the email in which your booking
was originally confirmed. If not, you may contact your travel
consultant by email or phone and ask him/her to resend it
to you. If you prefer, you may download it yourself from our
website. Just go to the very bottom part of any web page and
click on “download form”. Follow the instructions
and you will be able to download our credit card form in either
Word for Windows format or as a PDF Acrobat Reader file.
What do I receive as a confirmation?
You will receive a detailed invoice on which you will see
all the services, hotel reservations and/or flight itinerary
as well as vouchers for hotels and services booked. If you
booked flights, an email with your e-ticket information will
also be included. If a paper ticket was issued, it will be
sent via an express mail company, such as FedEx.
Together with the travel documents, we send you by mail brochures
of the properties booked provided that we have them in stock.

How do you classify the
hotels?
Hotels are classified with Stars (from 1 to 5), depending
on hotel facilities, location and special features. A five-star
hotel has most of the fancy features you might expect from
an international hotel: sauna, gym, swimming pool, and English-speaking
staff. BrazilBookers.com works only with hotels whose classification
range between 3 and 5 stars, except for the comfortable and
simple pousadas located in exotic destinations. But even those
normally have TV, A/C and a private bathroom. The star classifications
are not the responsibility of BrazilBookers.com or any of its affiliates,
and are presented only as a guide in comparison.
What if my clients want
to change hotels once they arrive at their destination?
If your client decides to change hotels after checking in,
they should contact our local office using the Help Desk Number
provided on the voucher. Our local representatives will provide
them with options and will try everything they can in order
to accommodate them. However, if your client has booked a
non-refundable package such as Carnival or New Year’s
in Rio de Janeiro, some restrictions may apply and they will
not be able to change to another hotel. In this case, our
agents will work together with the hotel front desk in order
to look for the best solution available, either by recommending
another room or by offering an upgraded room, whenever available.

How do I cancel or change
a vacation package?
In order to cancel or change a vacation package once it’s
booked, contact your travel consultant and we will make the
arrangements in the least time possible. Sometimes, changing
or canceling bookings may result in some charges to your client,
such as airline fees or a new class of service. BrazilBookers.com charges US$ 50 per passenger to process any changes once the
reservation is made and confirmed. If your client has booked
a non-refundable package such as Carnival or New Year’s
in Rio de Janeiro, some restrictions may apply and they will
not be able to change to another hotel. In this case, our
agents will work together with the hotel front desk in order
to look for the best solution available, either by recommending
another room or by offering an upgraded room, whenever available.
How long in advance should
I book carnival packages and other special dates?
Some special dates require that you book with a lot of time
in advance. Carnival in Rio is a good example. Our advice
is always “the earlier, the better”. There is
no secret for these special occasions: The hotel rates and
airfare skyrocket the closer we get to the event, due to limited
availability. If your travel consultant offered you something
reasonable and you really want to go, our recommendation is
to book it right away, as prices may increase next week.
Flights
How will my airline tickets
be delivered?
BrazilBookers.com always prefers the paperless e-ticket. So, whenever
an e-ticket is available, you will receive an e-mail with
your client’s itinerary and e-ticket information and
confirmation number. When checking in, just have your client
hand to the ticket agent (airline) their passport together
with a printout of the e-mail we have sent you and they will
be able to check your client in. If an e-ticket is not available
for your flight itinerary, you will receive a paper airline
ticket via express mail delivery, normally by FedEx or USPS.
Why did the airfare change at purchase time?
In short, airfares are subject to change until you have purchased
your tickets. That’s why: BrazilBookers.com uses a real-time
reservation system and it’s the same used by many travel
agents worldwide. The system lists actual prices and availability
at the time of searching. As airlines fill flights or change
fares, the database immediately reflects those changes. Always
be sure to double-check prices when reserving or purchasing
tickets, as the fare may have changed since you first searched
for fares or created your itinerary. BrazilBookers.com is generally able
to secure the rate within 24 hrs after quote is sent to you.
However, ticket prices are only confirmed after the ticket
has been issued and paid for in full. Our advice is for you
to book and have your airline ticket issued as soon as you
find the right flights for your client’s trip. By waiting,
you may lose out on a great fare.
Do I need to reconfirm a
flight reservation?
It’s always a good practice to reconfirm your flights
48/72 hours before your flight date. Sometimes due to daylight
savings time or for unknown reasons, the airlines decide to
change their flight times You will need to keep abreast of
these changes, as your client may miss their flight if you
do not reconfirm your client’s flight schedule. So,
call the airline directly and use the confirmation number
we provided on your e-ticket. It is also a good opportunity
to make sure you have an assigned seat.
How can I get a
seat assignment?
Your travel consultant will always try to assign you a seat
at the time of purchasing. However, some airlines on certain
flights will not allow us to assign you a seat. In any case,
it is always safer for you to contact the airline directly
and have a seat assigned by one of their representatives.
What should I do if my client
needs to upgrade using his/her miles?
If your client needs to upgrade his/her reservation, they
have to contact the airline directly once the reservation
is booked. In most cases, the cheapest class of service will
not allow any upgrades. So, if your client is considering
upgrading, advise your travel consultant at BrazilBookers.com before
we issue your client’s ticket and we will try to accommodate
your client and book their flight on the class of service
that may allow an upgrade.
How do I cancel or change
a flight reservation?
Most airfares in Economy class have an airline imposed penalty
of $100 or more per ticket for changes and cancellations,
provided that the same class of service will be available
on the new date. If not, some increase in fare may apply based
on availability as well. Some tickets are also non refundable,
but in most cases, you can have the credit – less any
applicable penalties available for use toward future travel. BrazilBookers.com also charges a $50 fee on top of the airline-imposed
fees to change/cancel any reservations.

Tours and Transfers
Do you provide transportation
between the airport and the hotel?
We will be glad to book transportation to and from an airport
for your client. In most cities, we have the option for a
“private transfer with driver only” or “private
transfer with guide”. Both services cost more than just
getting a cab. However, it is safer and recommended. It is
always nice to get in contact with someone you can rely on
for the rest of the trip for anything you need. Our knowledgeable
guides will be able to give your clients many tips on safety,
restaurants, and shopping as well as recommend activities
during your client’s stay. Our guides also make sure
that everything goes well during the hotel check-in, by requesting
that special room or view for your clients. Our experience
is that it makes your client’s stay nicer and smoother.
How do I book excursions,
optional tours and transfers?
The best way to do it is to discuss your options with your
travel consultant at BrazilBookers.com. He knows what makes sense
and what doesn’t so your client can enjoy the daily
activities as hassle-free as possible. If you want to get
information about the available options, including half and
full day tours, here’s how: all of our excursions and
options are described in detail on the BrazilBookers.com website.
To see a list of the tours available in Rio de Janeiro, as
an example, just go to DESTINATIONS, select RIO DE JANEIRO.
Once you are on the Rio de Janeiro page, select “Tours
in Rio”. You will be taken to a web page with all of
our activities with descriptions.
Can I purchase half and
full day tours locally, even after I've booked a trip?
Absolutely. Just have your client contact one of our representative
offices using the round the clock numbers provided on the
vouchers. They can also buy them with their guides if they
have purchased private transfers from the airport to their
hotel. The guides can schedule the tours and hand your clients
However, the tours purchased at destination are hard-to-control and therefore, not commissionable to your travel agency.
What if I want to cancel
or change a tour I’ve booked?
If you want to cancel or change a tour before your client
has traveled, you may do so by contacting your BrazilBookers.com travel consultant. If your client has already traveled, they
may change/cancel a tour by calling our offices according
to the phone number provided (Emergency Number) with their
travel documents. In most cases, our offices will reschedule
the tours or compensate with another tour or services, charging
your clients directly the difference if applicable.
Billing and Payment
Is my credit card information
safe?
Yes, your credit card information (or your client’s)
is protected whenever you make a purchase or reservation with BrazilBookers.com. We do not require that your give us you or your
client's credit card information through our website, even
though our website is secure. BrazilBookers.com requires a credit
card form with copy of the signer’s driver’s license
and credit card to be sent by e-fax for every purchase. The
e-fax transmissions are secure and are sent directly to our
reservation system. No one can actually printout your credit
card information. It remains on the system, accessible by
the accounting dept at BrazilBookers.com only.
Can I use a credit card
with an international billing address?
Yes, you may use a credit card with an international billing
address as long as we receive a copy of the credit card holder
picture ID with the same signature on the credit card being
used. Keep in mind that we process all credit cards by matching
the billing information provided by your client with the information
on file with their credit card company. If any information
does not match, then the charges can not be processed.
What should I do if I need
a paper receipt?
A travel consultant will always send you an invoice when quoting
your client’s itinerary. If you need any other form
of invoice, contact your travel consultant at BrazilBookers.com and we will be glad to accommodate your request.
Do I need to make a deposit
to hold a booking?
The reservations have to be prepaid in full normally 60 days
before traveling date. If you book several months in advance
and depending on the contract we have with the hotel/airline
supplier, we will request a deposit or payment in full. The
travel consultant will discuss these options with you.
Will you charge me before
the travel date?
Yes. All reservations have to be prepaid 60 days before the
traveling date. Some packages are required to be paid in full
at the time of booking. It all depends on the conditions we
have contracted with the suppliers for the services you’re
booking.
Can I use more than one
credit card to pay for a booking?
Yes, you can. We will still need a credit card form filled
out and signed by each payer together with a copy of their
picture ID and credit card being used.
Why do you charge a handling
fee?
BrazilBookers.com charges a $10 per passenger handling fee. This
charge covers travel document deliverables – either
by express mail or by e-mail – and our round the clock
assistance in the countries while traveling.
What happens if my credit
card is declined?
Your BrazilBookers.com travel consultant or our accounting department
will contact you and let you know that your credit card has
been declined. In most cases, the credit card company declines
a charge for security reasons. In this case, the problem is
solved by having the credit card holder contact the credit
card company and to let them know about the charge to be processed.
If the credit card has been declined for insufficient funds,
we will work on another form of payment such as check, money
order, or a different credit card.
Why are some packages are
non refundable?
BrazilBookers.com works with thousands of hotel suppliers in South
America. For some specific high-demand dates, BrazilBookers.com is required to prepay a non-refundable deposit for the reservation
in order to secure the room and the rate. This is the case
for Carnival Packages in Rio and for most cruises in Galapagos
or for other packages, that are based on limited availability.
